J Camps Financial Policies
At the time of registration, a $50 deposit is required for each week of camp. The deposit is applied to your total camp fees and is non-refundable. Refunds minus the deposit will be given for cancellations made between registration day and 10 business days before the start of the camp week you want to cancel.
No refunds will be granted for any reason 10 business days before the start of the camp you want to cancel. There are no deductions or prorated tuition for partial sessions or absences.
All camper forms are due on May 5, 2025. A camper with incomplete forms will not be allowed to start camp and will be withdrawn without a refund. Campers who register after May 5 will have 72 hours to complete their forms or be withdrawn without a refund.
A change is when a camper’s number of weeks remains the same but their schedule changes.
(Changes are not guaranteed and are subject to availability in the program.)
A cancellation is when a camper’s number of weeks decreases (i.e., from 7 weeks to 5 weeks of camp).
1.) Camp changes made starting May 1, 2025, are subject to a $25 administration fee per change per camper.
2.) Cancellations for any reason will be processed as follows:
- A $50 non-refundable deposit is required for each week of camp at the time of registration. The deposit is applied to your total camp fees and is non-refundable. Refunds less the deposit will be given for cancellations that are made between registration day and 10 business days before the start of the camp week you want to cancel. If a cancellation results in a credit, this dollar amount can be applied to future camp payments until June 17, 2025. Refunds will be processed no later than August 22, 2025.
- No refunds will be granted for any reason 10 business days before the start of the camp you want to cancel. There are no deductions or prorated tuition for partial sessions or absences.
- If a camper drops a camp and adds another at a higher price, payment for the difference will be due at the time of the change requested. If a camper drops a camp and adds another at a lower price, the difference will be applied to the camper’s household account for use at another time.
- All camp fees must be paid in full by June 17, 2025. J Camps reserves the right to cancel registrations without an extended payment plan. (May not apply to scholarship families.)
When you register for camp, payment options include:
- Payment can be made in full OR in four auto-debited monthly installments via ACH (bank account) or credit card.
- Deposits are required, regardless of the form of payment, at the time of registration.
- If you choose to pay in monthly installments via ACH or credit card, the deposit is due immediately upon registration, after which four equal payments will be auto-debited on the following dates: Tuesday, March 18; Thursday, April 17; Monday, May 19 and Tuesday, June 17.
- Registrations made on or after March 17 will pay the deposit and the monthly installment amount for the month(s) that have passed.
- All credit card transactions for J Camps will include a 3% non-refundable credit card transaction fee.
- To sign up for Pre-Check, an active membership is required.
- Only active members who have signed up for Pre-Check will be allowed to register for J Camps on Sunday, February 2, 2025. Click here for Pre-Check information.
- Membership must remain active through the last day of camp.
- Pre-Check sign-up opens on Tuesday, December 31, 2024.
- The deadline for Pre-Check sign-up is Thursday, January 30, 2025.
- Pre-Check sign-up must be completed for each child you plan to register on February 2, 2025.
Financial assistance is available on a limited basis for summer day camp. Existing scholarship families can apply early, by January 31, to secure a priority award decision. All other applicants must apply by the regular deadline of February 14. Any applications received after this date will be LATE and will not be guaranteed consideration for aid.
Those applying for financial assistance can register for camp online on February 2 and must pay the applicable deposit of $50 for each week of camp. The total camp balance will be reduced once a financial award has been received. Alternatively, applicants may wait until they have received their financial award and the deposit due reflects their award.
The procedure for applying for financial assistance is:
- Ensure membership is valid or is purchased for the camper(s) prior to camp enrollment. For more information about membership options, please contact the membership department at 713-729-3200 or membership@erjcchouston.org.
- Apply online for assistance at online.factsmgt.com/aid. You must submit financial documents, including 2023 tax returns and 2024 W2s. Also, please explain any changes that may have occurred during the year 2024 that may have impacted your financial situation and projected income for 2025.
- If you are completing your FACTS application prior to registration day, please use the camp website to estimate the costs of your family’s camp needs.
- Enroll your child(ren) into the desired program(s) and pay the required deposits to secure space beginning on Sunday, February 2, 2025.
- Completed applications, including supporting documentation, must be received by the following dates to be considered:
- Priority deadline for existing scholarship families: January 31, 2025
- Regular deadline: February 14, 2025
- Late application deadline: March 31, 2025 (Submissions after March 31 and those that are incomplete will be considered ONLY on a limited basis and subject to funds available.)
- Applicants will have one week from the award date to accept the award, file an appeal, make any changes, or withdraw from any camps to receive a full deposit refund. After this timeframe, deposits are nonrefundable, and any changes will be subject to the applicable change fee.
- Payment plans for the balance not covered by financial assistance must be finalized by April 30, 2025. Children will not be allowed to attend camp without a set payment arrangement.
**Please note: Financial aid is not available for the following contract camps: Basketball, Baseball, Trampoline, Teen Travel Camp, Ninja Warrior, Glee, Rockband, STEAM, Beat Makers, Mad About Hula Hoops, Golf, Aerial, Horseback Riding, Minecraft, Roblox, Lego Masters, WITS, Culinary, Best of Houston and Chess
